The sales order form is a document generated by a company to recognize that a customer has shown the intent to purchase goods or services. The paperwork is usually written up when a PO is received. Before the sale is made, sometimes there has to manufacture or certain configuration to bring the item to a state of readiness. Therefore sometimes a sales order may lead to a work order then an invoice and receipt are generated in the end.
There are many different types and formats of sales order forms depending on the nature of the business. It could be related to a manufacturing plant, retail shop, auto parts store, equipment sales, etc. The forms referred to here are manual paper forms that have to be written up by hand. They are made from carbonless paper that produces multiple copies from an original copy. You can have Duplicate (2 parts), Triplicate (3 parts), Quadruplicate (4 parts), or Quintuplicate (5 parts).
The information printed on the sales order and the way it is designed is based on the type of business using it. For example, a company selling car parts may have a layout and verbiage than one that is selling flowers. Here are some of the common things you may see on the form:
1. Personalize it with a logo, business name, and contact information
Adding your logo, business name, and contact information at the top of the form will save you time when you create a new one. Most importantly, it will promote your business and help to build up your brand name over time.
2. Determine how will the order be fulfilled
How you write up the order will be determined by the stage of production that the item is in. Is it in stock and ready to be shipped? Is it partially produced? Will you make it to order? These are questions that you must answer before you start writing up the form.
3. Fill out the necessary information on the order form
The sales order will already be imprinted with sections including lines and relevant text to help guide you in filling it out. You have to fill in the text to communicate clearly to all parties involved in the sale.
4. Use the form to internally
Use the sale order internally to ensure that the final product is ready to be delivered to the customer.
5. Deliver the goods or service
Deliver the gods and generate an invoice for payment.
